hi and in today's tutorial I'm going to be showing  you how to create this newsletter in word how to save it as a PDF and also how to save it as a  template so let's just go up and insert all of our shapes so go to insert shapes click on the drop  down and select this Square go over click and drag out a rectangle don't worry too much about how big  or small it is every time you insert a shape it will actually come with a very narrow borderline  and obviously a fill color I'm going to get rid of
that borderline because then I'm going to copy and  paste these so select it go up to shape format go to shape outline click on the drop down and select  no outline once we've done that I'm going to copy and paste it now you can use command or control  C and then deselect command or control V or you can select your shape hold down your alt or option  key click and drag so I need a shape at the bottom here let's just move that down again I'm not being too accurate because I'll  probably move it a
ll at the end and then another shape that goes over here there we go and then just move this one  up and pop that up there now come to the colors in a little while but  let's just go up and insert some text boxes insert text box click on the drop down draw text  box click and drag now as you can see all text boxes have a black borderline I move that there is  the borderline and a white background I'm going to get rid of both of those so select it go to  shape format again shape outline no outlin
e click on shape fill click on the drop down no  fill then I'm just going to type out newsletter I'm going to go to the Home tab and using  my font customization tools I'm going to go to font color here and click white now the  reason it hasn't changed is because my cursor is inside the box now I can either select the  word and change my font or I can just click on the box if my curse is not inside the box then  I can make some adjustments as I will do now I'm going to go to the increase font si
ze tool  here and click on it and now you can see I can make that adjustment it's because my cursor is not  inside the Box so I'm going to take this up to 80. and I'm going to change the font size  to Ariel and then down to Aerial narrow here we go I'm going to make this bold in fact I'm going  to copy and paste this first because copy and pasting this will make life a little easier so  let's copy and paste it the reason I'm going to do that is because I don't want to take out  the borders again
and redo all the internal stuff so I've got my letters now but I do want  to adjust these letters to a different font so I'm going to select it go to font again and this  time I'm going to select Euro Style and I'm going to reduce the font down to 28 there we go and  the reason I've done that is because I'm going to choose this font for all the other elements  in the newsletter so I'm going to click and drag again click and drag oops deselect reselect this one and pop it up here these at the to
p here will be a different  size they're going to be down to 14. so we can take those down again I'm  on the decrease font size tool here now obviously you can do that and then  just copy and paste this one or you can just select them take it down to 14. using the  drop down which is probably a little quicker there we go and then we'll put all the  information in in the right text in a bit so I'm going to grab this text box again  hold down my ALT option key click and drag and pop it down the bo
ttom here for a later piece  of text I'm also going to copy and paste this text box again click and drag I'm going to go to  home and change the font color to automatic move it down and I'm going to change the  font back to the original which is calibery and then again I'm going to copy and paste this  twice because I want my title up here then I want my text then a title then some text I also  want some text and title over here and then again select all tops alter option key click and drag so 
I've got all my text boxes now so I can edit them so on this text box I've got the same font  but I want to increase the font size to 22. for my first title and then this one as well 22. then this is going to be the text body so  I'm going to change the font size to 11 and then I'm going to put my text in  I don't think you want to see me type everything out so I'm just going to copy  and paste some text in there we go and then in fact I'm going to delete  that one copy and paste this one and th
en just oops deselect reselect just one box and now I'm doing all this really roughly  because what you'll end up doing is you'll find is you have to adjust the text adjust the  sizes format it where you want move everything around line everything up and you'll be going  over and over and it many many times so let's just move everything down because we need to get  an image at the top here so there we go now align all this up later it'll make perfect sense so  here again is a title that title is
font size 20. and the font size here is 10 and again I'll just go and grab my my text I'm just going  to copy and paste them in there we go okay so the vast majority of all the text and  text boxes are in now and obviously you'll be putting your own personalized text in these  elements but I will show you how to customize it so you kind of get the perfect look so let's  insert our images so go to insert pictures click on the drop down now you may have images you want  to use from your file so t
hat's from your computer but I'm going to use some of the stock images  that come available with word so I'm going to click on stock images and my subject matter is  going to be travel so I'm going to put people and travel in the search bar and now I'll go ahead  and select my image so I'm going to select this one first and click insert when your images are  inserted into word you'll find that you can't move them and also they might disappear behind  the text and behind all of the graphics so ju
st select it make sure it's selected go to picture  format go to wrap text click on the drop down and select in front of text and now you can  move your image anywhere now I want my image over here now I can leave it like this if I  want to and just move it over or I can crop it select it go to picture format and go to crop  click on crop and you can see you've got all these black markers around the outside of your  image just hover over one of the markers click and drag and you can just crop th
at image quite  easily like that and just press enter once you're done and then we can move it over here now  you can make that bigger and so match it to your shape and you can also make your shape  a bit smaller so that it matches there we go now you can align them up but if you're struggling  to line them up select them both so select the image hold down your command or control key on  your keyboard and select the shape below go to picture format go to align and select align  to right and that
will make sure they're all perfectly lined up I can see it obviously  overlaps at the top here so we can resize the image and actually just make it small now  if you do this you will distort the image you can see he's getting a little bit squashed  so if you don't want to do that to go back you can resize it like this or you can use  the crop tool again so you can go up to crop and we can use the crop tool crop the bottom  press enter we can move that picture down to about there and then we can
move  this title down as well and this text okay you can see the picture's slightly  overlapping so what we need to do is make sure that this giant rectangle here is right at  the front or right on top of everything else if you can imagine this working a little bit like  layers where you can move things in front and behind other things so an image on top of a shape  or vice versa so select it go to shape format and using these two tools here bring forwards and send  backwards you can move those
images and text in front or behind each other so selected that large  text and we want to move it right to the front so select bring forwards click on the drop down and  select bring to front so that means it's on top of everything but it also means it's on top of  the text so let's undo that command or control Z to go back let's move this one to the back so  select it go to picture format send backwards click on the drop down and select send to back  and so that one is behind this image here i
s behind everything else so let's select our next  image so go back over I'm going to go back over to my stock images here but obviously you can  insert your own image I'll select this one here and I'm also going to select this one here and  click insert again select it wrap text in front of text move that one down again with this one  wrap text in front of text there we go so that one goes towards the bottom this one towards the top  so this one we're going to crop because we want it to go arou
nd about here but we want to crop all  the other information out so select it go to crop and then we can move this down move this up  so we've just got a little Slither of image press enter and then we can put this here and  again we can put this behind this image so that it doesn't overlap so select it go to send backwards  click on the drop down and select Center back and now this image is right at the back this  image here we're going to crop because we're going to put it down the bottom here
again  select it make sure you're on picture format and then go to crop we're  going to crop this image here and then press enter now if you do make a  mistake with your crop it doesn't matter because if you select it again go back up to  crop your photograph will still be there and you can crop it again you haven't cut it off  and it's disappeared you can adjust it again so let's put that photograph about here right so  we've got everything into our newsletter we now need to just go and adjust
everything so let's  think about the colors that we want to create something that's quite cohesive so it's quite good  if you select images that are of similar color because it does create that cohesion so what I'll  do is Select this shape at the top here this great big rectangle go to shape format go to shape fill  click on the drop down and go to more fill colors now here you've got your color wheel and you  can move this little cursor anywhere you like to select any color of your choice so
you can  look at the colors within your image and try to match it let's say for example we're  going to match this Bluey gray here in the mountains we sort of move it over and  the color that you've chosen will appear in this box here you can also use this slider  here to lighten and darken the choice of color and you can move it around like that or you  can go to this eyedropper tool here move it over the top of the mountain and just click and  then you can see here you've got that color in the
box and just click ok and it will match that  color now that you've got that color we can move down to the bottom rectangle and because we've  just selected that color it's already on this icon so you don't need to use the drop down again  you can simply just click to create a little bit of contrast we can go over to this shape here  go to shape fill go to more fill colors and then we can select the color again so use the  eyedropper tool to select the color again and we can just make a lighter
version of the same  color to create a bit of interest and click ok and you can see as I click off it's  the same color tone it's just brighter and that just creates a little bit of interest  in addition we're just going to copy and paste I forgot to do the top graphics that go either  side of the newsletter so again I'm going to select that now we've got the right color  hold down the alt or option key click and drag and it was just a Slither like this move that  over and then I'm going to hol
d down the alter option key click and drag there we go now because  these are now both selected go to shape format and go along to group click on the drop down and  select group and now those two are one element you can ungroup them again go to group and  select ungroup if you need to ungroup them but if you go to a line and go to align to Center  those two will now perfectly be perfectly aligned but I've got to now customize this word in the  middle and if I click I can get hold of that word I
can move it but if I struggle to click on the  word because sometimes it won't let you because these Graphics are on top you can just move the  graphics and then click on the text box and then you can customize it so let's customize this now  so double click inside I'm going to select my text just delete it just put my text in here now  I'm going to go to the Home tab and make sure my text is centered to my text box first  and then shape format a line click on the drop down align to Center and n
ow that's in  the center of my page again move this back up again align align to Center make sure that's all  lined up it doesn't quite look in the middle here I'm going to Center okay let's select the  graphics hold down my command or control key and select the words as well and then a line  and then align to Center and it will align the text to the center of the graphics then you can  group it and then you've got one complete element now for me these Graphics are a bit  too close so let's ungr
oup everything and then click on this one and then ungroup  it again so these are just a bit too close so I'm going to move that one out select the  other one hold down the Commodore control key group select group and then align the  Line to Center let's make sure these two are lined up grab this one hold down  the alt option key align align to Center group and then we have one element once  you've grouped it a line align to Center now that's all perfectly lined up make sure I use  letters in th
e center there we go align to Center let's just move that down a little bit using my  arrow keys perfect let's go across the top now and adjust the text here so all I'm going to do now  is Select each one and enter in the correct text now you can see I've also centered all  of my text to the center of my text boxes so that's quite important I'll just move these text boxes just to make them  a bit smaller here we go now I want to make sure that this is all lined up as well so select  each one hol
ding down your command or control key just select them all go to shape format go  to a line and I'm going to go down to distribute horizontally and what that means is that there  will always be an equal distance between each of your elements now deselect and if the distance  is different it sometimes means that it's because the margins within the text box so from where  your text ends to the side of your text box is different so sometimes to get it perfect you need  to take it to its maximum or
minimum and then pull it out take it to its minimum pull it out take  it to its minimum pull it out and do exactly the same thing a line distribute horizontally  and you can see that adjustment's been made and then align a line to top make  sure they're all lined up at the top and then group and select group and  now they're all one element and yet again we can go to a line align to Center okay  let's just move all of these up a little bit now the thing I've noticed is that my travel guide  is i
n the center but this bit here at the top is not in the center so let's undo it group and group  select this one only go to align align to Center okay and now you can see that there isn't an  equidistance between the two and that may be just because the text is different and the amount  of text is different so it's really important that you get things lined up so that technique didn't  work it may work for you it didn't work for me but because I think my text is longer on this  side than it is t
his side that's just the fact of how it lies so the distance between the  number one here and the edge of my document actually matches the distance between  the zero and the edge of my document here so that will line up perfectly now so if  we just zoom out I keep always zooming out just to check that it looks okay and nothing  catches my eye just with that top bit that we've edited I think that newsletter text  just needs to go down a little bit further and maybe the travel guide section just d
own  a little bit further so on to this text here let's just edit this text and then we can make  sure that this is in the center of this box but you have to make sure the whole box is actually  in your document you can't have anything hanging over because it will line it up with this box  here so you have to ensure that the whole box is in your document so select the text let's just  make sure that this is where we want it as well select the text box hold down the alt  option kit sorry the comm
and or control key select the title select the Box  shape format align align to Center and now all of that text and the title is  all perfectly lined up now the text boxes up here we can adjust the title  let's just put our two titles in so now we've got the elements in there we can just  make the adjustments and move them over to where we want them so I'm just looking at the Gap here  if I'm happy with that Gap and then I could just pull this text box over now at the moment all of  my text is J
ustified so select your text go up to home and you can use any of these alignment  tabs here or tools here you can line to the left the center the right or this is Justified  which means that the text lines up to the side here and perfectly lines up to the side here I've  done that for both of well all of my text boxes so I'm going to move this over I'm just looking  at the distance here and the distance here there we go and also the distance at  the bottom so I think the distance there and ther
e is pretty much the same so I need  to ensure that my text matches that line there and then this text at the bottom would be great if  that text lined up with the bottom of the image and then we could line this title up with the  top of the image creating this space here by creating this space between the title and the  smaller text really we need to match that up here so let's move that up so I want that title to  maybe be a little closer to the text I'm going to move it down my arrow keys and
then I'm going  to line it all up in in a minute but if I want the text the top of the text there to line up with the  image I could crop it but I'm going to leave quite a big space all across the top here now if you  want to adjust your text to fit the Box there's a number of things you can do so obviously you can  change the size of the box but you can also change the size of your font and in some cases well a  lot of cases by changing the font itself will also change the size of the font as
well so you  can play around with fonts and font sizes in order to make the text fit perfectly depending obviously  on how much text you want to put in that space so once I'm happy I'm going to select it all  by holding down my command or control key so select all four of those elements go to shape  format align and select a line to the left and all of those boxes will be perfectly  lined up so let's just click off perfect so this is lined up at the bottom I'm happy  that the image is slightly t
aller than the title because it fills that space quite nicely so  down here I'm going to put in the email address so select all the text now for this I'm just going  to show you a funny little technique where you can further customize your text select your text right  click and go to font now if you go to Advanced you can go to this section here called character  spacing this means that you can spread out the characters or the letters of your text as much as  you like so if you go to spacing and
go to this box here if I put in Five Points you can see how  word has now spaced out my text or my letters for this particular font if you're happy with it the  preview just click OK and as you can see was doing a great job of spacing out my text I need to make  sure this text is in the center of my text box so go to home click Center and then shape format  align click on the drop down align to Center deselect make sure I'm happy I'm actually just  going to move that up slightly with my arrow k
ey there we go perfect now if you can't be  bothered to make all this up and change it and put everything in this template will be  available to download just check out the links below but if you're completely happy with your  design you can now save it as a Word document or you can go to file save his template and then  you can save it in this file called word template that will mean that you can access this template  over and over again customize it and resave it as a new document and it will
always be in your word  software you can access that when you open word you'll automatically be taken to your templates go  to your personal templates and it will be in there alternatively you can go to file save as go down  to file format and you can save this as a PDF by doing that you can then enter it into your emails  and the body of your emails but of course I can't do a demonstration on that because everybody has  their own email and different email system I'm on a British one so your ema

Thanks for this wonderful tutorial. The issue I now have is that when I go to print the newsletter, the right side runs past the right margin, off the screen. Is there a way that I have the newsletter fit within the side margins? Also, is there a way to lock the template formatting once I have the newsletter the way I want it so that the sections stay in place?
