Have you ever been in a situation where a problem occurred at your event and an attendee had to look around the whole venue to find you? Or maybe you wanted to inform your attendes about something interesting happening at your exhibitors booth. I bet that both of the answers to my questions would be a definite yes. In this episode we are going to deal with these kinds of issues. In the last episode we spoke about the benefits of going digital when it comes to event materials. I bet that you reme
mber that you saved four trees and well some money. Today We are going to cover cases which are connected with my last topic because they can all be managed by the same event management tool. Like I said before You get more for less. Some people say that you cannot over communicate and I think that's true. It's not a problem when you organize a small meetup for well a couple attendees but if the event gets bigger, and I don't only mean the events that have 1000 participants, but also those that
have 100 participants some communication issues can occur. And what I mean by issues is for example sending some sudden unexpected news. So in this episode we will show you three examples of what you can do to reach your audience Regardless if your participants are internal or external providing them with the highest quality of experience can boost your chances of reaching your goals. Although we're going to spend a whole episode on networking in the future I just can't help myself not to tell y
ou about this possibility now. Internal chat is a powerful tool for event organizers to stay in touch with their attendees. Imagine your speaker is lost just a few minutes before the lecture Important person is not in the room when you're demoing your product or maybe someone left their bag in the hallway and you know Who it belongs to? All the issues I mentioned And many other problems can be solved with the simple build in chat. All you need to do is find the person and send them a message. We
ll, this is all just simple convenient and solves many problems. Sometimes your attendees need to speak with you because they have problems questions. Well, you know. Our experience shows that Usually these problems are pretty easy to solve, but if you don't deal with them soon enough that's what your participant will remember after the conference. Troubles with air conditioning losing something. Of course if the attendee knows the organizers name they can just use live chat and message this per
son directly but if they don't know the organizers name or who is responsible for what? That's when the chat with the organizer comes in handy. The feature is available in most event management apps and it allows the attendees to message all the organizers directly, so once again simple fast and convenient way to deal with any unexpected problems and keeping your attendees experience at the highest level. Last but not least push notifications. Personally my favorite. In this case you're only lim
ited by your imagination I am sure that every one of you has an app on your phone that since you push notifications And we're just all used to this and how can we use this at our events? I've seen some basic usage like survey reminders, information about contests, lunches activities which were meant to be a surprise or were hidden in the agenda somewhere. But what about the more interesting ones? Well, we have seen organizer sent a message to their attendees via push notifications which informed
them that the main exit road is blocked and they should make a detour. Seems weird? well The attendees were really grateful what we know from the post event feedback As I said push notifications allow you to inform your attendees Probably about everything and it makes their experience much better additionally it allows you to message all of them at once or just selected groups of them. As I'm trying to keep this episode short why don't we finish here? Are these all the ways to communicate with
your attendees? Definitely not, but from our experience we know that these three allow you to cover all the organizer participant needs provide additional value and improve the experience of your attendees and that's just what we want to show you in our series. Thank you for being here with me once again and like always if you have any suggestions about topics that I should cover let me know in the comment section below and don't forget to check out our blog.
